Our Response Plan

Sander Rose Bone Grindle LLP – Covid 19 Safety Plan

 

The safety and protection of our staff, clients and community is a priority of SRBG. In this regard, we ask that you follow the following polices to reduce the risk of spreading COVID-19:

 

Personal Precautions:

  • Wash your hands with soap and water regularly, for at least 20 seconds.
  • Avoid touching your face
  • Cough or sneeze into a tissue or your sleeve
  • Avoid direct contact with others, follow the new buzz phrase of social distancing, by keeping a minimum of 2 meter distance from others
  • Use extreme caution in all public places (restaurants, bars, gyms, etc.)
  • Wear a mask if you are not feeling well, or are in situations where social distancing cannot be maintained
  • Avoid travel into areas that may be at higher risk of contracting COVID-19
  • If you are sick, please stay home

     

Protections of staff, clients and community:

  • Occupancy limits to be maintained:
    • Reception area – maximum of one individual per 5m square of floor space
    • Board rooms – maximum of six individuals, including staff
    • Break rooms – maximum of two seated individuals, and 1-2 standing pending social distancing
  • Plexiglas barriers have been installed to protect front line workers and clients. Please respect these precautions by staying behind the barrier
  • Practice social distancing, keep a 2 meter distance from each other, and encourage clients to do the same
  • The front waiting room and desk will have limited access to all staff, except assigned receptionist. Interior reception area doors will be kept closed to segregate these areas, and all staff will be required to enter and exit the building using the alternative staff exterior doors
  • Masks are available at the front reception desk should one be needed by either staff or clients
  • Hand sanitizing stations, and related poster requesting visitors to sanitize in and out of the office, are located at each public entrance
  • We recommend that the receptionist use gloves while working in the restricted area, and that these gloves be removed and disposed each time they enter the back office area, with a new set of gloves being put on when re-entering the reception area
  • All surfaces (door handles, light switches, copiers, counters, desks, chairs, etc.), where clients, client documents and staff contact regularly, should be sprayed with disinfectant at least twice daily, or right away upon noticing a client exhibiting sickness.
  • All client records that enter the office must be quarantined in the designated quarantine room for two days prior to transfer to the staff / back office. If an option, encourage clients to scan and email documents.
  • Face-to-face appointments between clients and staff will be allowed, however proper precautions must be followed:
    • Practice personal precautions above
    • Refer to board room maximum capacity above
    • Reception to disinfect all client contact surfaces after meetings

       

If staff or clients are not feeling well

  • You must stay home if you are not feeling well, or have been directed to do so by public health
  • If you have travelled from outside Canada, you must self-isolate for 14 days
  • If you find yourself feeling sick at work, you must wash / sanitize your hands, put on a mask, and immediately self-isolate and go home
  • If a worker is severely ill reception is to call 911
  • If a worker falls ill and leaves the office, all surfaces that the ill worker was in contact with must be cleaned and disinfected immediately
  • Staff are required to call in and notify the partner in their respective office if they are sick. Staff are then asked to follow these procedures:
    • Stay at home until such time as your are tested negative, or 14 days, whichever is less
    • Monitor your symptoms closely and check the online COVID-19 self-assessment tools available
    • If your self-assessment determines that you may have COVID-19, call 811 to confirm and request a test for the virus
    • Once your test is processed notify Dale of the results by email immediately, and copy to your office managing partner in FSJ or GP
    • Each morning email Dale to confirm your situation, and copy to your office managing partner in FSJ or GP

       

Working Remotely

  • If staff are feeling unwell, due to the pandemic, we will try to accommodate the option to work from home if possible.
  • If staff are able to work from home, the following policies must be followed:
    • Request a copy of the WorkSafe BC guide to working from home, or WCB AB guide - Working From Home During a Pandemic
    • Protection of client confidentiality and server access is mandatory, do not leave files out / exposed where family or friends can see them. If you are unable to maintain client / server access confidentiality, for whatever reason, you will not be able to work from home.
    • If you come in the office to pick-up or drop-off work, this is to be done after hours, through the staff entrances, and that you take precautions to not contaminate the office (see personal precautions above). There will be gloves available by the entrance; these are to be put-on before you enter the building and removed and discarded after you leave.
    • We also ask that you limit your visits to the office as much as possible, try to take enough work to last a few days.
    • When you remove files from the office, keep a written running list of all files you have out of the office, less what has been returned, on your office desk so that we can see what you have. The list should include name of client, date taken from office, and partner (for DC files) and date returned
    • When files are returned from your home, put a post-it note on them with the date and time of return and put them on the receptionist desk, so that we can put them in the two day quarantine period before they are worked on in the office

We encourage you to reach out to this assistance, or other resources if you feel the need.

     

Working at a Client’s Business

  • Personal precautions mentioned above must be followed.
  • Ensure social distancing of both fellow staff and client staff can be maintained, if not a mask must be worn
  • Staff must travel in separate vehicles
  • We must inquire about, and adhere to, all client COVID-19 safety policies
  • If you are not sure on the cleanliness of client documents, gloves should be worn when handling client documents
